What to put on a remodeling invoice

An invoice that answers the client’s questions gets paid faster. Here’s what yours should show.

  1. Your business details

    Your business name, phone number, and your contractor license or registration number where your state or city requires one.

  2. The project and its address

    Which job this is, for example "Kitchen remodel, 4120 Oak Hollow Dr.", and which stage this invoice covers.

  3. Work completed for this stage

    The labor, materials and subcontracted work this invoice covers, line by line.

  4. Change orders

    Each change the client approved, on its own line with its price, so the total never comes as a surprise.

  5. Deposits and earlier payments

    What the client has already paid, so the balance due is clear.

  6. Sales tax, if it applies

    Tax on remodeling work differs a lot by state, so ask your accountant how to bill it.

  7. Due date and how to pay

    A due date and the ways the client can pay. Bank transfer is much cheaper than a card on a large invoice.

How do I bill a remodel in stages?

Take a deposit on the estimate (Premium), then send an invoice for each stage as you finish it. Each invoice has its own pay link, and your invoice list shows what's still owed.

How should I handle change orders?

Send each change as its own estimate for the client to approve, then add it as a line on the next invoice. That way every change has an approval on record.

Can clients pay large invoices by bank transfer?

Yes. Bank transfers cost 1% + 30¢, capped at $15, so a $20,000 invoice costs $15 to collect instead of hundreds by card. You can also pass the fee on to the client.
