What to put on a plumbing invoice

An invoice that answers the client’s questions gets paid faster. Here’s what yours should show.

  1. Your business details and license number

    Your business name, phone number and plumbing license number. Many states expect the license number on bids and invoices, so check your state board's rules.

  2. Where the work was done

    The job address, if it isn't the billing address, and the date of the work.

  3. Labor and parts on separate lines

    Hours at your rate, or a flat price for the job, then each fixture or part with its quantity and price. An itemized invoice is easier for the client to check, and quicker to pay.

  4. Service call or trip charge

    If you charge one, give it its own line so it isn't a surprise.

  5. Sales tax on the right lines

    Parts and fixtures are usually taxable. Whether labor is depends on your state and the kind of job, so ask your accountant and mark each line accordingly.

  6. Warranty

    What the manufacturer covers and how long you guarantee your own work, in the notes.

  7. Due date and how to pay

    A due date and the ways the client can pay, so there's no reason to wait.

Can I put my plumbing license number on invoices?

Yes. Add it once in Settings and it appears on every invoice and estimate you send.

How do I charge for parts and labor separately?

Add them as separate lines. Save the parts you use most and your hourly rate as items, and they fill in with their price as you type. You choose which lines are taxable.

Can clients pay me by card on the job?

Yes, once you turn on online payments. Send the invoice by text or email and the client pays from the link on their phone. Card payments cost 3.49% + 49¢, and you can pass the fee on to the client.
