What to put on a contractor invoice

An invoice that answers the client’s questions gets paid faster. Here’s what yours should show.

  1. Your license and business details

    Your business name, phone number and contractor license or registration number where your state or city requires one.

  2. The project, address and draw

    Which job this is ("Primary bathroom remodel, 4120 Oak Hollow Dr.") and which draw this invoice is, for example draw 2 of 4.

  3. Work completed for this draw

    Demolition, rough-in, tile, cabinets or whatever this milestone covers, so the client can see what they're paying for.

  4. Subcontracted work

    Plumbing, electrical or tile work done by your subs, on its own lines at the price you charge the client.

  5. Allowances and the selections against them

    The fixture, tile or cabinet allowance in the contract, what the client actually chose, and any difference.

  6. Change orders

    Each approved change on its own line, with the date it was approved.

  7. Deposits, earlier draws and the balance

    What's been paid so far and what's left on the contract, so nobody has to work it out.

Can I bill a remodel in draws?

Yes. Send each draw as its own invoice when you reach the milestone. Each has its own pay link, and your invoice list shows what's been paid.

How should I show subcontractor costs?

Put each sub's work on its own line at the price you're charging the client. You don't need to show what you paid them.

How do I handle allowances?

List each allowance on the estimate. When the client makes selections, show the selection and any difference on the draw invoice, or as a change order if it's over.
