What to put on a painting invoice

An invoice that answers the client’s questions gets paid faster. Here’s what yours should show.

  1. Your business details

    Your business name and phone number, and your contractor license where your state requires one. If you work on homes built before 1978, include your EPA lead-safe (RRP) firm certification number.

  2. The scope, room by room

    Which rooms and surfaces (walls, ceilings, trim, doors, cabinets), how many coats, and whether it's interior or exterior.

  3. Prep work

    Patching, sanding, caulking, priming and protecting floors and furniture. Listing it shows where the time goes.

  4. Paint and materials

    Brand, color and finish for each area, so you and the client can match touch-ups later, plus primer and supplies.

  5. Deposits and change orders

    What the client paid up front, and any added rooms or color changes on their own lines.

  6. Sales tax on the right lines

    Paint and supplies are usually taxable. Whether labor is depends on your state, so ask your accountant.

  7. Due date and how to pay

    A due date and the ways the client can pay.
